Email is one of those tools we depend on, but it often takes more than it gives. It takes our attention. It takes our focus. And on busy days, email gets in the way by pulling us from the work that actually needs our energy.

People are overwhelmed by the number of emails they receive, but the volume isn’t the real problem. The real issue is how constantly connected we are to it. We look at our inbox before our feet touch the floor in the morning. And when that happens, the day becomes driven by what arrives in our inbox instead of by our own priorities.

Why email becomes overwhelming

We don’t end up with overflowing inboxes because we’re disorganized.
We end up there because we’re trying to keep up.

We skim messages, open them again later, and postpone decisions when we don’t have the space to think them through. Over time, the inbox fills with small tasks and unresolved decisions that quietly pull at our attention.

You may notice:

  • It’s harder to see what’s genuinely important
  • You feel pressure to respond immediately
  • Deleting anything feels uncomfortable
  • Even after a productive day, there’s a sense that something got missed

This isn’t about willpower. It’s about needing a new way to work. One that supports better habits instead of keeping us on the same treadmill. Creating those new habits takes practice and consistency, and it’s something we can build over time.

One change to try today

Stop using your inbox as your to-do list.

Before you open it, take a quiet moment to identify the three to five priorities that matter today. The work that will move something forward. Then do a quick check of your inbox to confirm there are no urgent surprises. If there are, adjust. If not, begin where you intended.

If you can, set tomorrow’s priorities before you finish work today. It protects your morning from being taken over by whatever happens to arrive overnight.
